HDAW 1-ON-1 MEETING FAQ

This is where deals get done!  An integral part of HDAW, the One-on-One Business Meetings match distributors to the suppliers they want to meet with for private, focused business meetings off of the Product Expo floor.

• 5 meetings on Tuesday, January 23, 2024, with the first meeting beginning at 9:30 am and the last meeting ending at 12:45 pm
• 6 meetings on Wednesday, January 24, 2024, with the first meeting beginning at 2:00 pm and the last meeting ending at 5:55 pm
• 9 meetings on Thursday, January 25, 2024, with the first meeting beginning at 7:00 am and the last meeting ending at 12:55 pm
• 4 optional meetings on Thursday, January 25, 2024, with the first meeting beginning at 1:00 pm and the last meeting ending at 4:20 pm
• There are a total of 20 meetings and each meeting is 35 minutes in length, with 5 minutes of travel time in between.

The One-on-One Business Meetings will be held in the Convention Center area, adjacent to the Product Expo floor and on the third-floor meeting rooms of the Convention Center where education is held and meals are served. 

IMPORTANT NOTE FOR SUPPLIERS:  The Canadian warehouse distributors expect you to bring your Canadian reps to HDAW for the One-on-One Meetings so they are not talking to someone from your company who does not know the Canadian customer.

HDAW’24 utilizes the MeetMax Online Scheduling Software. MeetMax is a user-friendly interface that allows you to select your preferred companies and rank them according to your interest level. Schedules will be based on mutual selections and created before you arrive in Dallas, resulting in quality, preferred appointments for both distributors and suppliers.

For each team, your company is bringing you would select and rank at least 30 companies to meet with.

Company Opt-Outs: The MeetMax system provides an opportunity to anonymously “opt out” of meeting with a certain company and prevent a meeting from being scheduled between the two of you.

Self-Scheduling: Once schedules are created, there is now an opportunity to manually request a meeting to fill any remaining available time slots.

HDAW staff will send out the link to access the HDAW’24 specific MeetMax site to the designated company One-on-One communications contact on the following dates:

• Suppliers:  Contact will receive the link by Tuesday, Nov. 21, 2023 (or within a week of registering for the One-on-Ones)
• Distributors:  Contact will receive the link by Tuesday Nov. 28, 2023

There is a maximum of three (3) teams any one company can bring.  Suppliers must reserve a meeting room for each of the teams.

For each team your company is bringing, you would select and rank at least 30 companies to meet with.

If bringing multiple generic teams (i.e. Team 1, Team 2, or Team 3), simply indicate that number in the HDAW registration process when prompted.

If bringing multiple teams with either a specific business location, or from a certain region, please be sure that those teams have a unique login to the MeetMax online scheduling system.  They will be treated as a separate company to ensure that companies are specifically selecting and ranking them.  These teams will receive their own specific schedule.  Please contact leah.jones@autocare.org to facilitate this type of additional team. 

The MeetMax system will allow you to choose which time slots, out of the total 20, you would be available to hold a meeting.  By default, your company will be made available to all time slots.  You may “de-select” the box of the timeslot that you do not want any meetings scheduled.
